Zoom Meetings Integration

Integrate with Zoom Meetings to create, schedule, and record meetings, all from within Bublup. This feature is available for the Enterprise plan.

Integrating your Zoom Meetings account with Bublup:

(Note: This feature must be set up on desktop.)

  1. Go to My Info > “Zoom Meetings”.
  2. Toggle on “Zoom Meetings integration”, and click “continue”.
  3. Login with your Zoom Meetings account and password. Then click “Allow” to give Bublup permission to schedule Zoom meetings with your account.
  4. Once this is complete, you will receive a confirmation dialog. Click “OK” to return to your Bublup folder.

Create a new Zoom meeting:

  1. Click the + button and select “Zoom Meeting”.
  2. The first time you create a Zoom meeting using Bublup, you will be prompted to set up your account. Click continue and follow the instructions above to sync your account, if you have not already done so.
  3. Name your Zoom meeting, set a time, and confirm your invitees list. When you’re ready, click “Create”.
  4. A Zoom meeting item will be created in your folder. It will include all the meeting details, with additional options to “Add to Calendar” or “Copy Invitation”.

    Clicking on “start meeting” will start the meeting immediately.
  5. Invitees will receive an email and in-app notification that they have been invited to a Zoom meeting.

Managing your Zoom meeting settings:

  • Topic: Give your meeting a name.
  • Start time: Choose between starting the meeting immediately or scheduling ahead.
  • Duration: Set your meeting duration. (Note: if you are on a free Zoom Meetings account, you may be limited to 40 min).
  • Time zone: Specify the time zone to use when scheduling your meeting.
  • Invitees: By default, the meeting will invite all current folder members. Instead, you can choose to invite only specific members or teams.

    You can also invite additional people who may not belong to the folder via their email address.
  • Additional meeting options: Specify whether to require a passcode, add a waiting room, or record the meeting.

    (Note: these settings may be overridden from within your Zoom Meetings account).

 

Editing an existing Zoom meeting:

To edit your meeting, click the 3-dot menu (on desktop only) and select “Edit”.

When a meeting time is updated, folder members will receive a notification.

 

Saving a Zoom recording in Bublup:

If your Zoom meeting was recorded, you can retrieve the Zoom recording and save it into Bublup.

  1. Click the 3-dot menu and select “Get Recording”.
  2. Click “ok” to confirm.
  3. You will receive a notification once the recording is available and will see the recording inside your Bublup folder.

 

Joining a Zoom meeting through Bublup:

Once you’ve received an invite to a Zoom meeting in Bublup, click “meeting details” on the item card to view or join the meeting.

 

Disabling Zoom Meetings integration:

  1. Go to My Info > “Zoom Meetings”.
  2. Toggle off the “Zoom Meetings integration and click “continue” to confirm your selection.
